What OrbitDots is
OrbitDots is a live prioritization board. A host creates a room, participants join with a shared code, and everyone interacts on a spatial board to surface what the group cares about.
Data we collect
We collect only what is necessary to run a session:
- Account email address: if you choose to sign in, we store your email address to send sign-in codes and to create and manage your account.
- Account preferences: if you sign in, we store your display name, quick-start preference, room-hosting defaults, and recent sign-in timestamps.
- Participant name: the display name you enter when joining a room. In anonymous rooms, no name is collected.
- Room title and card content: text entered by the host and participants during a session.
- Session activity: spatial positions, orbit patterns, card scores, snapshots, and timestamps generated during a session.
Data we do not collect
- Device or browser fingerprints
- We do not use analytics or third-party tracking services
Cookies and browser storage
If you sign in, we use a secure session cookie to keep your account signed in. We also store a participant token and participant identifier in your browser’s localStorage to keep you connected to a room. These room-scoped values can be cleared by clearing your browser data for this site.
Where data is stored
Session data is stored on hosted infrastructure operated by our service providers.
Data retention
Demo rooms are automatically deleted 24 hours after creation. Other room types may remain available after a session ends so that results can be viewed later, and we do not yet publish a fixed automatic deletion schedule for them.
If you hosted a room while signed in, you can delete an ended room from My rooms. Its saved results and associated session content, including card content, participant names, snapshots, and session score/activity history, are then removed from OrbitDots’s database and are no longer available in the product.
Who can see your data
Results are accessible to people who have the room code or results link. Only share information in OrbitDots that you are comfortable sharing with people who have access to that room.
Third-party services
We use third-party hosting providers to run the service. These providers may process technical request data as part of operating the service. We do not share your data with other third parties for advertising or tracking.
Your rights
If you hosted a room while signed in, you can delete an ended room yourself from My rooms. For other session-data deletion requests, contact us and include the room code or results link. For account-related requests, contact us from the email address associated with your account.
